FAMILY SERVICES COORDINATOR
(Full-time: 60% family service, 30% data entry, 10% outreach)
This position is partially funded through Best Starts for Kids Innovation Funded through December 2020, with the possibility of extension with additional funding.

Over the next year and a half, Tiny Trees will be focusing on working with communities of color and communities with limited financial resources to provide the kind of outdoor, early-childhood education opportunities that are responsive, inclusive, accessible, and fun as part of the Best Starts for Kids program.

As the Family Services Coordinator, you will: Support new and prospective families in accessing Tiny Trees programs or resources in accordance with our anti-discrimination and equity mission. You will act as a strong layer of support for families, particularly those families who are new to Tiny Trees. You will ensure that Tiny Trees systems support accessibility, equity, and responsiveness for all families, particularly for families of color and families with limited financial resources. This will entail speaking frequently with families with an eye towards creative and sustainable solutions.

Family Service & Support (60%)
Be primary contact for family inquiries about programs and activities via phone, email or “Contact Us” form.
Develop and uphold culturally responsive admissions practices.
Manage Seattle Preschool Program admissions process, including working with Department of Early Education and Learning city staff.
Guide families through the admissions process with empathy, great customer service, and grace. Includes offering opportunities for in-person assistance, access to multi-lingual support and coordinating financial assistance and bridge funding.
Compile and share relevant resources with enrolled and non-enrolled families including newsletter articles, blog posts and contributing to resource catalog (1-2 x’s/month)
Assist in ordering, cataloging and distributing essential gear and materials to students, families and classrooms including rainsuits, boots, and other outdoor clothing.
Meet with families in the field for scheduled events and orientations to help navigate Tiny Trees systems.
Establish consistent contact with families to gather feedback and concerns as they arise.

Data Entry & Evaluation (30%)
Enter family and student data including enrollment, attendance, billing, health and safety information into Salesforce and other systems, upholding high levels of privacy and security standards.
Assist BSK team in collecting, evaluating and sharing data.
Attend weekly BSK team meetings.

Outreach & Recruitment (10%)
Staff site tours, open houses and family info. nights, as needed at all of our locations.
Staff community events, as needed.

Essential Functions & Working Conditions:
Extensive time working at a computer.
Requires duties to be carried out in office-settings, storage spaces, and outdoor field locations, as well as off-site training and travel.
Requires occasionally working outdoors in all weather conditions and terrain.
Flexible schedule and ability to work some evenings and weekends.

The most competitive candidates will will have experience in and/or learning that addresses barriers and systematic oppression which effect members of marginalized communities engaging in programs, have experience in Customer Record Manager (CRM) software, such as Salesforce, and be multilingual. We are looking for candidates who are:

Organized and experienced in coordinating complex schedules and resources.
Inter-culturally fluent and able to develop culturally responsive programs.

Job Title: Family Services Coordinator
Reports to: Admissions & Family Services Manager.
Hours of Work: Monday – Friday 40-hour work week, occasional need for evenings and weekend hours.
Location: This position is based out of the Impact HUB at 220 2nd Avenue in Pioneer Square and includes regular travel to, from and between all of our locations.
Start Date: No later than August 12th, 2019.

Salary: This is a 40 hour per week, non-exempt, hourly position. Pay is $19.23 an hour.

Benefits: The following benefits are split between bi-weekly pay periods:
Health insurance: employer provided Gold level health care plan from Kaiser Permanente.
Retirement benefit: 3.75% annual salary contribution starting after one year of employment.
Paid training: $350 Professional development stipend.
Discounts on outdoor clothing.
80 hours paid time off (PTO) plus 10 holidays and some school closure days (total paid time off a yr: 5 weeks).
Employee Assistance Program (EAP) for assistance with issues that interfere with your health, well-being, and productivity at home or at work.
